Meeting Minutes, September 11, 2019
5:00 p.m. Town Office Building Basement
Present: Ann Kuendig (interim chair), Ray Colton, Carl Oertel, Betty Warner, Glenn Reinhauer
Guests: Herb Kuendig, Keith Hopkins
Call to order. Ann called the meeting to order at 5:01 p.m.
Approval of minutes.
The minutes of the August 12 meeting were approved by a
motion from Ann, seconded by Betty.
Chimney Update:
Power Vent installation: Ann moved to authorize acceptance of the CV Oil bid for $1,721.03 for an external power vent. The motion was seconded and accepted. Previously, the installation of the power vent had been put on hold waiting for information from the insurance company. Ann will schedule the installation with CV Oil.
PACIF Insurance: PACIF reinspected Town Hall which the company does about every five years and discovered that the orginal square footage was overstated. Policy was readjusted to reflect the proper square footage for coverage. At this point, PACIF has agreed to refund the overpayment for the past year. The select board will pursue being compensated for overpayment in the prior years as well.
Community Engagement Survey Update.
Survey responses continue to come in. Ann reported she had received a total of 85 from both online and hard copy responses. Another 6 were turned in at the meeting. Paper surveys require the respondent to include their name. Those are being verified to confirm either a resident or a property owner. An illustration of the reporting available from the Survey Monkey App was shown.
Community Engagement Events.
Surveys will be available at The Clear on September 15th during the Pittsfield Volunteer Fire Department Appreciation Dinner and will also be available during the Pittsfield Bazaar on September 28th.
RCWA Proposal.
Carl and Herb reported on their meeting with Dan Pratt of RCWA. The drawings, prepared by Herb Kuendig Designs, will require certification. RCWA submitted a proposal that needs further clarification. A motion made by Ann, seconded by Ray, was approved for Carl and Herb to have an additional meeting for that purpose.
Scope of Work Discussion.
The Scope of Work document was discussed. There were no substantive changes at this time while we wait for more input from RCWA and others. Dave Larkin stated that we need to be sure to include costs for all options including possible sale and possible demolition.
Committee member addition:
Keith Hopkins was asked to join the Committee and accepted. The Committee welcomes his building expertise.
Next meeting: Monday, September 30, 2019, at 5:00 p.m. in the basement of the Town Office building.
Adjournment. The meeting adjourned at 6:15 p.m. upon motion from Ann, seconded by Ray and unanimous consent.
