12/21/15     BOARD OF AUDITORS MINUTES
Present:  Martha Beyersdorf and Erica Hurd.  
Meeting Called to order @ 9:45 AM.
Approved Minutes of December 14, 2015 Meeting with motion by Martha and 2nd by Erica.  Gave to Patty.
Agenda Modifications – Pat Fuster stopped by after last meeting concluded with a statement so we could audit Historical financials report.
Dropbox Questions/Concerns – Starting to get the hang of it.
Town Report
a. Review/Edit
- Reports – Martha suggested we use last years’ town report to aid us when it is time to compare financials during our auditing process. She added Road Commissioner under reports to the table of contents. 
 - Photos –Martha contacted Gabby Coughenour. Erica found a CD Barb Wood created that may be helpful, will bring to next meeting. 
- Dedication – Martha completed.
- Layout – Martha will reformat and create a new mockup town report. This will include the front and back covers which could not be added to the original document. 
 b. Other Concerns.- Upon review of document dropped off by Pat Fuster to correct the Historical Society financial report, we could not balance the savings acct. We emailed Pat pictures of last years’ financial report, this years’ financial report and statement she gave us to review and resubmit financial report.
Next meeting – December 28th at 10:30 AM. (Bring laptops, phones and cords.)

​12/14/15     BOARD OF AUDITORS MINUTES
Present:  Martha Beyersdorf, Erica Hurd and Patty Haskins
1.  Meeting Called to order @ 1:10 PM.
2.  Approved Minutes of November 30, 2015 Meeting with motion by Martha and 2nd by Erica.  Printed out and signed minutes from 10/19, 11/2. Corrected 11/30/15, date was listed as 12/2 and signed. Gave to Patty.
3. Agenda Modifications – Martha emailed Jessica Fuster to inquire if she would be able to participate as an Auditor. She responded that she would get back to Patty on Fri 12/11. No response or participation as of this 4th meeting. We are proceeding without.
4a. Dropbox Questions/Concerns - We discovered that previous documents we had difficulty accessing (each computer showed different Dropbox screens) can be shared by right clicking on the title and selecting Share.                                                                                                                                                                                                       
5.   Town Report –
a. Community Theme topics – Tabled.
b. Photos – Erica contacted Angelique McAlpine and she had no availability to assist with gathering photos. She suggested we contact Gabby Coughenour, who might have photos to share. Martha will contact her and also follow up with Barb Wood and Marion Abrams. Deadline Dec 15.  
c. Layout Concerns – Martha shared a mockup town report in Publisher with headings and page numbers to plug in reports once they have been edited. We discussed adjusting the mock up to reflect the page requirements. Martha will change to reflect a custom size of 7 ¾” x 11 and  add page for front cover and write dedication for Mel Colton. We have changed titles to all Caps and paragraphs will be full width, not column, with no indent and double spaced.
 d. Other Concerns/reviewing/edit reports – Martha brought copies of reports to be edited using red pens. We Audited the Historical Society financial report and found CD and saving accts had not been changed from last year. We called Pat Fuster to get information. Will review at next meeting. We completed preliminary editing and Erica will take home to input changes, and drop off reports to Martha be cross checked and added in mockup. Deadline Jan 18.

11/30/2015  BOARD OF AUDITORS MINUTES
Present:  Martha Beyersdorf, Erica Hurd and Patty Haskins
1.  Meeting Called to order @ 2:01 PM.
2.  Approved Minutes of November 2, 2015 Meeting with motion by Martha and 2nd by Erica
3. No Agenda Modifications
4a.b.  Dropbox Navigation & Other questions/concerns - Erica could not see current documents on her phone but was able to open previous year and view photo. She also tried to share pictures from phone but Dropbox wants to see all photos, so she will try again from laptop. Martha sent updates and Patty and Erica were unable to view. Martha was going to re-share.                                                                                                                                                                                                       
5.   Town Report – Annual Reports due Dec 1st and Funds Reports due Dec 15th. Patty had that day received Health Officers and Historical Society Annual Reports. Martha had also sent Lister’s Annual Report.
a. Community Theme topics – Martha asked Erica if she would like to work on trivia questions. Erica felt is might make sense to wait until we have all necessary reports and pictures, so not to take away from all the work needed to be done by two not three auditors. We decided to table it for now.
d. Photos – Barb Wood and Marion Abrams were contacted. Erica suggested contacting Angelique McAlpine as well. Erica will contact her.
e. Layout Concerns – Martha had changed current reports from Publisher to Word. It was decided that when adding pictures to reports using Publisher was a better choice.
f. Spaulding Press – Martha was emailed a quote of $1209.52 for 260, 7 ¾” x 11”, books containing 56 pages + 80lb Royal cream fiber cover, (256 will be black spiral bound and 4 unbound books for archiving) using 1/1 black ink and 24lb Navigator text. That compares to $1163 from the previous year. We discussed ordering even less to further reduce costs as there were many left from previous year. The budget is $1500.
g. Other Concerns – none
